Can I import all my contacts with Excel file?

You can import your contacts and deals in Sellf with an Excel file. The import feature is available in Sellf web.

Where you can find the import feature

- Log in with your profile (email and password) at www.sellf.io

- Click on the top left on your profile picture to open the settings menu.

- Click on "Data" 


What you can import

- PEOPLE: You can import information about people (potential customers and clients) and the data of the companies to which they belong. Download the file xls example to know data you can import in People and how to organize your information.

- COMPANIES: you can only import companies data (potential clients or customers). Download the file xls example to know data you can import in People and how to organize your information.

- DEALS: You can import the data of active deals. Download the file xls example to know data you can import in People and how to organize your information.

 

Import

- Save your Excel file in .CSV format - FORMAT WINDOWS CSV - utf 8 (see picture)


- Select what you want to import (people, companies or deals)

- Select the you file .csv format

- Link the Sellf field at the column of your Excel file.


- Click “Continue”

- You will receive an email with the number of rows imported or if the file was not imported

  

Delete data imported

At any time you can cancel the import, always from import settings. Sellf erases all data imported to the Excel file, unless they have already been connected (in the case of companies and individuals) in the deals. 

- Choose the file to be deleted

- Click "cancel" on the right

- Click "confirm"

Information about the file Excel

- In the Excel file, the first rows can not be empty. All columns must have the first header row (that is used to indicate what are the names of the columns to be imported). The first row will not be imported.

- When you import you can not link a Sellf field to multiple columns of your Excel file.

- Address: the address in Sellf app (street, number, city and nathion) is all on the same Excel cell. In this way Google Maps and Apple Maps can find your customers. If the address is split among several columns you can join them by following the instructions "how to merge two columns" at the end of this page.

- Description: if you have some information about companies or people, you can put them in the "company description" and "people description" cell.

 

Importing Tags

- You can insert tags in deals, people and companies.

- More words in the same cell Excel "tags" must be separated by a comma. If words are separated by a comma, Sellf creates separate tags.

- If two words are not separated by commas, Sellf creates a unique tags with two words.

  

Importing people

- If in the same row there are people data and company data, Sellf creates a customer profile and a company profile linked together.

- If in your Excel file some people has no company data, Sellf creates only the customer profile.

- If in your Excel file there are companies without people, Sellf creates only the  company profile. 

- If there are more people who work in the same company (as in the example of Excel file), Sellf creates as many profiles as people are and one company profile.

  

Import deals

- The column "important" is useful to assign the "star" at the deals to put in evidence. To assign the "star" insert in the cell "true" or "1".

- Date Format: The date must be the format DD / MM / YYYY. For example, to set the date "26 April 2016", you have to enter "26/04/2016".

 

How to merge two columns of your XLS file:

To join text from more cells into a single cell, use the join operator (&).

1. - Example: in cell A1 there is the word "Luke" and in cell B1 "Judges".

2. – Type in cell C1  “ = A1 & "" & B1  “

- The formula joins the names in cell A1 and cell B1 and separates them with a space (Luke Judges). 

 Following these steps, the data will be in three columns and you can not delete the contents of any. It should make one last step to have only one column without necessarily having to maintain the other two. You must copy the contents of the third column, paste it into a new column using the "Paste Special” and select “Value”.
